Administrative Assistant

DEPARTMENT: ADMINISTRATION

CLASSIFICATION: PART-TIME REGULAR

PURPOSE: The Administrative Assistant will be responsible for assisting both the VP of Finance and HR and the Director of Institutional Advancement. Both departments require an organized, detail-orientated person to assist with daily finance, communication and human resource projects. Part-time position (up to 20 hours/week).

MAJOR DUTIES AND RESPONSIBILITIES:

  • Maintain and update files for payment documents, invoices, purchase orders, requisitions, accounts payable and accounts receivable.
  • Assist in preparation of period end required journal entries.
  • Assist in donor donation management and communications.
  • Coordinate communication updates to websites and through emails, social media, etc.
  • Assist in coordination of special events.
  • Provides clerical support including word processing, databases, spreadsheets, typing, record keeping, photocopying, filing, faxing.

KNOWLEDGE AND ABILITIES REQUIRED:

  • Coursework in finance, accounting, fund-raising, or related field.
  • Position requires broad experience and knowledge of finance, development, fundraising, communications.
  • Excellent administrative, organizational and record-keeping skills.
  • Knowledge of accounting principles and practices pertaining to not-for-profit institutions.
  • Ability to work independently and as part of a team.
  •  Demonstrated excellent written and verbal communication skills.
  • Computer and database literacy, Salesforce and QuickBooks experience preferred but not necessary
  • .Familiarity with general HR systems such as payroll, benefits, worker’s comp, unemployment, 401K, hiring practices, progressive discipline, etc.
  • No history of criminal or dishonest activity.

PHYSICAL AND MEDICAL REQUIREMENTS:

  • Successful completion of pre-employment physical examination and drug screening.
  • No history of allergy to plants or animals, which may interfere with the candidate's ability to work.
  • Must be willing to work in harsh environments, be physically fit, and able to lift 50+ lbs
  • Clear Criminal Background Check.
